Set weekly AI budgets
A weekly AI budget caps how many credits one person can spend in their chats with Ronja each week. Every week starts on Monday at 00:00 UTC, when everyone’s budget resets. You set the budgets on the Weekly budgets tab of the Control Center (admin sidebar → Billing & Control → Control Center → Weekly budgets). Every Admin can open the Control Center to reach this tab. If your organization doesn’t have billing access, the Control Center shows only weekly budgets; the other tabs need billing access.
A weekly AI budget is separate from the monthly credit allocation in the Control Center. Both apply at the same time, and a prompt is refused as soon as either one is used up. See Weekly AI budget vs Allocation.
How a person’s budget is decided
Section titled “How a person’s budget is decided”The tab reads from top to bottom in the same order Ronja picks a person’s budget:
- A personal exception wins over everything else.
- Otherwise the person gets the highest budget among the access groups they belong to. No limit beats any number. A group budget applies even if it is lower than the Everyone budget, so you can give Interns 20 credits while everyone else has 100.
- Otherwise the Everyone budget applies.
- With none of these set, the person has no weekly limit.
Set a budget for everyone
Section titled “Set a budget for everyone”- Open the Control Center and go to the Weekly budgets tab.
- Under Everyone, choose Credits per week and type an amount. Choose No weekly limit to remove it.
Every control saves as soon as you make a choice, and Credits per week saves once you type an amount and press Enter or leave the field. There’s no save button.
Set a budget for an access group
Section titled “Set a budget for an access group”If no budget is set yet, the tab shows only Everyone. Click Or set a budget for an access group or one person to show the Access groups, Personal exceptions and People sections.
- Under Access groups, find the group.
- Pick Credits per week and type an amount, or pick No limit. Use the Everyone budget removes the group’s own budget.
Access groups that include everyone in the organization aren’t listed: they always use the Everyone budget. A group budget stops counting as soon as the group is deleted or starts including everyone. It then appears under Not in effect, where Remove (×) deletes it.
Give one person an exception
Section titled “Give one person an exception”- Under Personal exceptions, click Add exception.
- Choose the Person.
- Pick Credits per week and type an amount, or pick No limit.
- Enter a Reason. It’s shown in the list and kept for audit.
- Click Add exception.
To change an exception, remove it and add it again.
See who gets what
Section titled “See who gets what”The People list shows every member’s Weekly budget, where it Comes from (Personal exception, Access group followed by the group’s name, Everyone, or No weekly limit), and how much of it they have Used this week. The list is sorted by how much each person has used, highest first. Search it by name.
The tab shows usage only as a percentage of each person’s own budget. It never shows how many credits someone spent.
Give someone extra credits this week
Section titled “Give someone extra credits this week”When someone runs out before Monday, you can top them up for the rest of the week without changing their budget.
- In the People list, find the person and click Give extra credits. The button is there for anyone whose budget has a limit.
- The dialog shows how much of their budget they have used so far. The amount starts at 50; change it if you like, up to 1,000,000 credits at a time.
- Enter a Reason. It’s kept in the audit log.
- Click Give credits.
The extra credits are added to their budget until Monday at 00:00 UTC, then they disappear, so they never turn into a permanent raise. If you give extra credits more than once in a week, they add up. The person can send again straight away and isn’t sent a message about it. Their row then shows the extra credits, for example “+50 this week”; click Remove next to it to take back everything you gave them this week.
Extra weekly credits only lift the weekly budget. If the person is stopped by their monthly allocation or because the organization has used all its credits, they won’t help, and the dialog says so.
Get told when someone runs out
Section titled “Get told when someone runs out”When someone uses up their weekly budget, your admins hear about it by email (titled “Someone used up their weekly AI budget”) and in Ronja’s notifications, or in Slack if that is how your organization routes this alert. It names the person and links to the Weekly budgets tab with the Give extra credits dialog already open for them. You hear about each person once a week, and again only if they also use up extra credits you gave them. Running out again at a total you’ve already been told about that week isn’t announced a second time, for example if you remove their extra credits and give the same amount again, or lower their budget back to a total they already ran out at. The person themself isn’t told, even if they’re one of the people who normally get this alert.
This alert is on by default: until your organization sets up notification delivery, it goes to your admins. To send it somewhere else, or turn it off, use the Someone used up their weekly AI budget row on the Notification routing page (admin sidebar → Governance).
What people see
Section titled “What people see”When someone has used 75% or more of their weekly budget, a grey line above the chat box says how much, and when it resets in their own time zone. For example: “You’ve used 82% of your weekly AI budget. Resets Mon 02:00.” Once it’s used up, the line reads “You’ve used your weekly AI budget. Resets Mon 02:00. Contact an administrator if you need more.” and new prompts are refused until the reset. A refused prompt keeps its own message, which gives the reset time in UTC: “You’ve used your weekly AI budget. It resets on Monday at 00:00 UTC. Contact an administrator if you need more.” People only ever see their own budget, never the organization’s.
What counts toward a budget
Section titled “What counts toward a budget”Only a person’s own chats in Ronja count, including the work Ronja does with her tools during a chat; automations, workflows, Saved Agents and Slack or Microsoft Teams conversations don’t count and are never stopped. Once your budget is used up, approving a step and answering or skipping a form wait for the reset, while Reject still works and ends the step without Ronja continuing.
